Liaison Officer (JO02)


PROGRAM/DEPARTMENT SUMMARY:
The Liaison Officer will work committed to provide reliable and compliant support to the regional team members and activities in order to achieve efficient service to program and operational team members.
GENERAL POSITION SUMMARY:
The Liaison Officer will perform a variety of administrative and clerical tasks providing support to managers and employees, assisting in daily office needs and managing the organization’s general administrative activities.
ESSENTIAL JOB FUNCTIONS: 
  1. Prepare and follow up visas, pre-visa applications, work permits, residencies and extensions for all Mercy Corps expatriates staff.
  2. Develop and regularly update tracking sheet for residencies and visas of MC staff to make sure they are renewed on timely bases.
  3. Facilitate clearance of goods through Jordan Customs and shipping agencies.
  4. Apply and follow up for getting security clearance for any events organized by MC in Amman.
  5. Keep the Organization continuously updated on latest developments & changes taking place in governmental departments related to visas, work permits, residency procedures.
  6. Follow-up the Organization’s registrations and licenses (applications, renewals) with the concerned governmental offices.
  7. Ensure proper filing and documentation of all administrative documents related to his/her area of responsibility.
  8. Report on monthly basis any changes / challenges to the direct manager.
  9. Prepare official letters and ensure translation of documents when necessary.
Other Specific Duties Include:
  1. Key management
  2. File Mercy Corps documents as required;
  3. Conduct himself/herself both professionally and personally in such a manner as to bring credit to Mercy Corps and to not jeopardize its humanitarian mission;
  4. Other duties as assigned.
SUPERVISORY RESPONSIBILITY: Administration support staff
ACCOUNTABILITY:
REPORTS DIRECTLY TO:  Administration Manager
WORKS DIRECTLY WITH:  Administration department and all operations and program staff;
KNOWLEDGE AND EXPERIENCE: 
  1. Two years’ experience in NGO/INGO in similar jobs
  2. Organization skills, problem solving, communication and negotiation skills, confidentiality, independent thinker;
  3. Must have a clear understanding on all MC policies and program needs to ensure the smooth, uninterrupted implementation of all MC programs;
  4. He/she should have excellent oral and written communication skills in both English and Arabic and be able to organize his/her work efficiently;
  5. Most be computer literate and know how to use different office equipment;
  6. Minimum 2 year experience with office administration and government liaison;
