Regional Support / Operations Officer



BACKGROUND

JOB SUMMARY 
The Support officer oversees the day-to-day activities including human resources administration, finance and to report to FAD.
GENERAL DUTIES AND RESPONSIBILITIES:
ESSENTIAL RESPONSIBILITIES FOR YEMEN MISSION:
1. Administrative work.
  • Support daily administrative operations for the office, record and file management.
  • Support receipt and timely distribution of mail, DHL and other communications to responsible project staff.
  • Ensure that administrative records are well-organized, maintained and updated
  • Respond to any visa request, residential permits, related to international staff. 
  • Build good relationships with the government sectors.
  • Monitor and keep informed on the Jordanian laws, procedures, rules and regulation (visa, immigration, labor, customs, importation, travel),
  • Request with the appropriate documents, follow up and obtain permits/visas, regular visits to the authorities to follow up the files
  • Make sure that all the documents required are correct as per the immigration requirements.
  • Arrange travel and accommodation for IMC –Yemen in Jordan, including overseas flight bookings, and in country transportation  
  • Maintain relationships with the landlord, office building management, and vendors or suppliers who provide administrative and/or operational project support.
2. Human Resources Management
  • Review employee’s contracts to ensure the compliance with Labor law and IMC policies and procedures.
  • Oversee and provide support in recruitment, selection and hiring processes
  • Make contracts, agreements and leases for employees and vendors, for sure after doing all the procurement process work, like BI check and etc.
  • Focal person to deal with IMC lawyer in Jordan
  • Arrange and assist in.
  • Ensuring the timesheets are submitted on monthly basis before process the salaries
  • Update the data on cost point for the staff in Amman.
  • Create emails by updating and entering data for the new staff and gets an ID number.
  • Maintain HR filling system with a regularly updated back up
3. Finance 
  • Provide all the procurement documents to finance to make sure timely process the payment.
  • Conduct surprise cash count on timely basis
  • Prepare the monthly payroll for national staff and make sure the timely process the salary.
  • Focal person to coordinate with the bank
  • Provide the cash projection to finance on timely basis to make sure the office should have the sufficient cash to process the payment.
  • Scan all financial documents on daily basis and send them to the country finance team.
4. Logistics.
  • Focal point with the UNHAS –WFP for flights from (Amman –Djibouti –Yemen) Direct and indirect flights and also boat booking. Responsible also of the cancellations of direct and indirect flights and for updating the Time-dates of the flight.
  • Coordinate travel/logistics arrangements and do the procurement process if needed such as Travel arrangements, tickets and hotel accommodation from Amman to Yemen and vice versa.
  • Arrange movements of the Vehicles and counting the kilometers of the vehicle sheets monthly.
  • Support receipt and timely distribution of mail, DHL, WFP and other communications to responsible project staff.
  • Booking Hotel for the staff in Djibouti.
5. Security
  • Insure reports if some incidents happen in Jordan to security in Yemen
  • Update the security department in Yemen with the time/date of flights from and to Amman or Yemen to provide security for the staff.
  • Providing help and support to Yemen staff while they are in Jordan and make sure to do your best in order to keep them safe.
Qualifications:
  • Bachelors level in Business Administration or similar field; 
  • (2 to 4) years of applied experience with humanitarian organizations doing the same tasks.
  • Good written and verbal communication skills.
  • Team player with good interpersonal skills
  • Good time management skills
Languages:
  • Arabic: Fluent; English: Excellent
