Front Desk, Admin support Intern/Paid


Background:
Minimum of one year experience at Receptionist
Presentable and fluent in English reading writing speaking
Computer skills
Purpose of the Training:
Receive all guests arriving to Mercy Corps Country office in Amman and address their requests as needed. She/he will maintain a safe and clean reception area by complying with procedures, rules, and regulations. Maintain continuity among work teams by documenting and communicating actions, supporting office team members liaising with external entities or individuals (preparing, addressing and answering phone calls, sending documents, booking meeting rooms, hotel accommodation etc.). During the internship program, the intern will interact with the program team members implementing humanitarian projects with occasional visits to field sites of Mercy Corps Jordan programs. He/she will also have the chance to participate in program-based and/or operations trainings and other Mercy Corps staff development initiatives.
Among the intern main task will be:
  • Answer all incoming telephone calls and direct to proper person or department.
  • Receive and dispatch mails.
  • Endure that the office is run in a professional and responsible manner including hosting guests, cleaning, receptionist duties & general contact and liaison with outside agencies.
  • Support Office Manager with preparing duty for the cleaner with supervision of the admin coordinator.
  • Greet and receive all visitors, suppliers, etc to MC premises.
  • Support Office Manager by assisting project management and support staff, as required.
  • Assist Office Manager to coordinate with the staff at meetings to make arrangements for refreshments and meals.
  • Update the telephone contact list and circulate it to all current/new staff in every first of the month and when needed.
  • Draft letters for hotels, govt. liaison, visa/work permit etc.
  • Help in making payment requests for Admin related expenses
  • Draft leases agreements and coordinate with landlords.
  • Updating all tracking sheets including lease, utilities and visa/residencies etc.
  • Make bookings in the contracted hotels for visitors and staff
  • Coordination with internal and external players to provide effective admin support.
  • Help manage office stationery and keep a track record.
  • Help Admin department with managing support staff.
  • When needed Distribute & Receive Tender Dispatch from Vendors
Learning Objectives:
Through the internship, the intern will acquire:
  • Prior Admin or customer service related experience is highly desirable.
  • Excellent communications and interpersonal skills both verbal and written.
  • Good Knowledge about customer service procedures.
  • Practice on internal calls protocols, setting up international calls for executives and other administrative support task.
  • The intern will be involved in minor procurement task and get knowledge on procurement and Supply chain procedures of INGOs.
  • Observe and learn about the different phases and aspects of Mercy Corps project implementations activities at field level.
