Procurement Assistant


The “GIZ Country Office” in Jordan is seeking a Procurement Assistant - on a full time base employment.

A.   Required qualifications, competences and experience
Formal Education
  • University degree in procurement, business administration, logistics, management, or relevant specialisation and qualification (equivalent of BA)
Professional Experience 
  • 1-2 years of experience, preferably “Fresh Graduate”
      Other knowledge, additional competences
  • Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office) 
  • Working experience in German Language
  • Fluency in English, German and Arabic and, excellent verbal & written communication skills
  • Customer and service-oriented attitude


B.   Responsibilities
The position holder is responsible for:
  • Handling official correspondences (e-mails & Letters) in English, German and Arabic Languages
  • Informing projects and programmes on time about the status of procurement procedures (Goods & Services), particularly in the event of delays
  • Assisting in Procurement (Goods & Services) for the GIZ office and GIZ-assisted projects/programmes in accordance with GIZ rules and conditions
  • Coordinating effectively with colleagues at the Head Office
  • Dealing with all questions arising in this area of procurement in coordination with direct superior
  • Filing documents in reference files or DMS in line with GIZ’s filing rules
  • Ensuring that financial and administrative regulations are complied with
  • Data entry, preparation of lists… etc.
  • Ensuring good communication and flow of information
  • Performing tasks in compliance with GIZ’s Orientation and Rules (O+R)

C. Tasks: 
The position holder performs the following tasks:

.Assisting in Procurement of (Goods & Services)
The position holder:
  • Assisting in Procuring goods and services locally, monitor markets, issues invitations to tender and processes orders in accordance with GIZ regulations
  • Assisting in Entering and maintains data relevant for procurement and tenders in CoSoft and ProSoft
  • Assisting in Documents and files properly completed orders
  • Assisting in Manual and DMS filing according to GIZ regulations and GIZ Office internal agreements
  • Assisting in a consistent communication, coordination and responsiveness with the respective GIZ experts on the status of the procurement procedures
  • Keeps updated monitoring Lists for all procurements (Goods & Services) done through GIZ Office
  • Maintain records of local suppliers of goods & appraisers


     .Other duties/additional tasks

  • Performs other related tasks at the request by the Head of Procurement & Logistics Department
  • Undertakes further job training related to the position and duties in agreement with direct superior
  • Immediately reports all problems to the Head of Procurement & Logistics Department
  • Regularly checks  the changes in GIZ Orientation and  Regulations Tool (O+R) in relation to field of work
  • Deputising defined tasks and as requested by the Head of Procurement & Logistics Department
  • Handles translation (German – English) for related documents and as requested by the Head of Procurement & Logistics Department
