Program Assistant – Youth Impact Lab


PROGRAM/DEPARTMENT SUMMARY:
Mercy Corps is an international relief and development organization working in over 40 countries worldwide helping people build secure, productive and just communities. In Jordan, Mercy Corps has been actively working since 2002 to implement a variety of programs funded by US and European governments and private donors. The current portfolio includes programs focusing on improved water demand management, conflict mitigation and social cohesion programming, child, youth and inclusive education programming, and humanitarian relief programming. 

Mercy Corps and Google.org are launching a three year global youth employment and innovation initiative to stimulate creative, technology-oriented solutions to the global unemployment challenge. Focusing on youth ages 18-35, this initiative will operate in two strategic regional hubs, one of which is in Jordan. The initiative seeks to strengthen dynamic ecosystems that foster demand-driven skills, creative job matching, and new work opportunities, while leveraging technology-driven solutions, so that vulnerable populations, specifically youth, can secure safe, decent, and equitable work. This initiative aims to think big, take risks, and test bold solutions by approaching under and unemployment through a business-oriented technology lens. While the program will operate in Jordan, we will strategically plan for regional replication and expansion beyond this country.
POSITION SUMMARY:
The Project Assistant will support the Program Team in the successful implementation of the Program through administrative support to facilitate  internal operations and external activities. The Project assistant will ensure that all internal Mercy Corps compliance processes are functioning smoothly for the program. S/He will work with M&E coordinators to monitor/evaluate program activities, feed into reports.
ESSENTIAL JOB FUNCTIONS
  • Coordinate and collaborate with operations departments in Mercy Corps to track and log requests and ensure processes for procurement and operations are completed on time and with proper documentation as per the  needs and the requests of the program;
  • Manage the filing system for the program, by organizing and maintaining records for physical and digital documents;
  • Contribute to ensuring that all programming follows Mercy Corps’ internal systems and procedures and that paperwork is completed and properly filed;
  • Support mechanisms for effective Program monitoring and evaluation efforts – working closely with the M&E focal point -  and systems for information sharing internally and externally;
  • Participate and assist in the organization and logistics related to workshops and tasks force activities, as needed, to inform strategy development and improved service delivery;
  • Supporting in the fulfillment of Mercy Corps Program Management Minimum Standards based on the organization-wide guide;
  • Participate in internal office coordination and planning meetings and workshops;
  • Manage the administrative aspects of the program activities, including support for additional facilities managed by the program.  
  • Conduct himself/herself both professionally and personally in such a manner as to bring credit to Mercy Corps and to not jeopardize its humanitarian mission;
  • Other assigned tasks, as necessary.
REPORTS DIRECTLY TO: Program Manager – Youth Impact Lab - Jordan
WORKS DIRECTLY WITH: Youth Impact Program Manager, Senior Coordinator, and communication officer.  
KNOWLEDGE AND EXPERIENCE:
  • BA or BS or equivalent in business administration, social science, management, international development or other relevant field;
  • Max. 2 years of experience in an administrative or operational position;
  • Demonstrate experience and strong understanding of working with private sector partners;
  • Previous work experience with non-profit organizations or corporate social responsibility preferred;
  • Strong written and oral communication skills in English and Arabic, including report development, writing and editing;
  • Demonstrated attention to detail, ability to follow procedures, meet deadlines and work independently and cooperatively with team members;
