Junior Administration Officer - FASPAR


The “Facilitating Social Participation of Palestinian Refugee – FASPAR” in Jordan is seeking a Junior Administration Officer - on a full time base employment.

A.   Required qualifications, competences and experience
Formal Education
  • University Degree in Business Administration or similar relevant field
Professional Experience 
  • At least 2 years professional experience in a comparable position
  • Experience in administration work in similar field or development organizations
  • Experience in event management
  • Understanding of IT guidelines
Other knowledge, additional competences
  • Excellent English and Arabic language knowledge, writing and communicating
  • Eye for details and capability of monitoring lists, and documentation of processes
  • Broad experience of administration
  • Experience and ability to cope with dynamic situation of cooperation system in development field
  • Experience and ability to deal with unexpected challenges
  • Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)


B.   Responsibilities
The position holder performs the following tasks:
  • Ensuring good communication, effective coordination and flow of information within the project/programme and with work partners, other institutions and the GIZ country office;
  • Providing administrative support to Jordan-based staff and consultants in all projects under the Supporting Palestinian Refugees program;
  • Assisting the project advisor in his/her administrative tasks; Handling cash payments by using cashbook (winpaccs),
  • Handling invoices, receipts and supporting documents, make sure that all are in line with GIZ regulations  
  • Organising events and workshops in Jordan for SPR, including preparing logistics, and visa applications as needed, and getting hotel offers, with support from other staff as needed (up to EUR 20,000  via the project)
  • Support the office with procuring hotel reservations above EUR 20,000 and follow up on payments;
  • Travel arrangements for partners and team members
  •  Supporting team members, partners, counter parts for settlement of travel expenses; Ticket reservation and submitting hard documents for the office ready to be paid.
  • Procurement of goods for contracts up to EUR 2500
  • Support the office with procuring goods above 2500 and follow up on payments;
  • Deputizing Administrative officer during her/his absence.
  • Procurement of services (other than consultancy) up to EUR 2500 in accordance with GIZ guidelines;
  • Supporting the program’s initiative to provide professional advice and to cooperate with local project partners including financial orientation, and close monitoring of Community Based Organisations receiving local subsidies;
  • Filing relevant documents relating to the position holder’s core responsibilities/tasks in reference files or in DMS in line with GIZ’s filing rules;
  • Deputising the staff member responsible for keeping the inventory list;
  • Deputising logistics officer during his/her absence.
  • VAT file compilation on monthly basis to be submitted to the office by the end of the year for vat refund.
  • Support the logistics officer on inventory lists checking and on site asset advisory.
  • Deputising the administration officer
