Component Administrator


ARK Group is a stabilisation, development and conflict transformation consultancy that provides research-informed analysis and policy recommendations, as well as evidence-based interventions, in conflict-affected areas from Yemen and the Palestinian camps of Lebanon to Iraq and Syria on behalf of public and private sector clients.  

  JSSP- Jordan Security Sector Project overall objective is to build the capability of the Jordanian civilian security services in the fields of community policing, investigative counter-terrorism policing, and critical incident response, in order to enhance Jordan’s security and stability in the face of regional crises and a protracted refugee presence.  

  Under the supervision of the Policing Support Team – Programme Operations Manager the Component Administrator will be responsible for assisting the PST – Programme Operations Manager, the Subject Matter Experts (SMEs), the HR Officer, and the full Core Team by providing comprehensive administrative support to the implementation and management of day-to-day activities. Functions will include but are not limited to: 

    MAIN RESPONSIBILITIES:

  • Responding appropriately to all administrative enquiries from SMEs and Core Team and redirecting or referring to other members of the team as necessary.  

• Responsibility for the update and maintenance of databases on ARK’s Sharepoint online system including entering relevant data, maintaining, logging, filing and updating all records and files in the prescribed format and creating new formats as necessary. (Includes all training material) 

• Maintaining records of all office supplies, refilling and reordering as necessary.  

• Maintaining organisation of office space and adapting as necessary.  

• Ensuring inventory records are up to date and that all equipment used is signed out and tracked.  

• Acting as a focal point for office IT maintenance requirements and following up on all IT requirements and issues.  

• Preparing and organising all administrative issues for the successful running of training courses and workshops including material printing, catering and venue, certificate arrangements and equipment preparation 

• Providing all administrative support to SMEs – this to include in-country travel as required to project sites. 

• Responsible for flight bookings.  

• Having knowledge of all the tasks undertaken by the HR Officer/Assistant in order to be able to offer full cover in times of absence.  

• Supporting HR in liaising with service providers for SME personnel’s accommodation and facilities for all workshops, courses and events 

• Other duties as reasonably required 

  REQUIRED SKILLS AND EXPERIENCE

• Excellent English & Arabic written and spoken skills. 

• Excellent MS skills. 

• 3 - 4years experience in Office administration 

• Ability to multitask and handle workload under pressure. 

• Flexibility and excellent communication skills. 

• Detail Oriented – Organizational Skills 

• Desire to learn and ability to adapt to changing needs.
