THE JOB
Under the overall coordination of the Project Manager (PM) and under the supervision of the  Project Officer (PO), the Assistant Project Officer supports the overall project implementation in project locations

Responsibility 1: Support internal & external coordination in project locations

Activities:
  • Facilitate training sessions and meetings with CBR volunteers
  • Support the Project Officer in the follow up of CBR volunteers work
  • Organize team meetings with clear agenda and provide feedback to PO
  • Attend internal coordination meetings and draft minutes of meeting
  • Support the PO in ensuring timely exchange of information and reporting with the different stakeholders
  • Attend External coordination meetings upon PO request and provide relevant feedback to the PO
  • Facilitate training sessions and meetings with local partners
  • Draft minutes of meetings upon request


Responsibility 2: Support the administrative management of the team and the collaboration with support departments

Activities:
  • Ensure proper administrative follow up of the volunteers according to HI procedures (payments, Seminars, documentation)
  • Compile monthly the team’s attendance sheets and liaise with HR to sign the pay slips
  • Prepare the weekly movement plan in coordination with the project team
  • Support the PO in preparing the transport money plan and other planning tools in order to organize the team’s work
  • Document the needs for distributed items on a weekly basis, in coordination with the project team (stock request, donation certificate, etc.)
  • Support the PO in compiling the donation certificates as well as reconciliation between the certificates and the Logistic outputs.
  • Act as a focal person to liaise with Amman logistics team to follow-up on Mafraq and camps needs in terms of stationery, IT, maintenance, etc.

Responsibility 3: Support the project files and data management
 Activities:
  • Ensure proper filing, sharing and archiving of project documents, while ensuring that confidentiality of beneficiaries’ data is respected and implemented.
  • Support the PO in ensuring regular monitoring of files and data as well as reconciliation between data tracking sheets and the database records.

Responsibility 4: Assist the Project Officer in any other tasks that may not be described in the Job description and yet may participate to the achievement of the objectives of this position
THE SUCCESSFUL CANDIDATE
Will have  
  • Degree in Project Management or similar
  • Experience  working in humanitarian and /or development context
  • Understanding of project cycle  management
  • Knowledge of users centered approach and center based rehabilitation
  • Ability to foresee risks, to identify priority activities and adjust them as required
  • Knowledge of referrals mechanisms
  • Good writing skills
