General Affairs Officer

SECONDMENT Secondment to ZOA , one of our international partners LOCATION Amman
REPORTING TO Manager General affairs
IS RESPONSIBLE FOR Cleaner/cook, guard/handyman
OVERALL PURPOSE Working as an important member of a diverse team who are committed to serve the world’s most vulnerable with practical and compassionate care, the General Affairs Officer ensures the efficient running of the Amman Support Office 
PROJECT OVERVIEW The Amman Support Office provides financial, logistical and other facility support for staff who temporarily and permanently work in different projects in Amman.   
MAIN ACTIVITIES: 
Office/accommodation management 20%
  • Make sure that the buildings and garden are maintained and kept in good condition
  • Ensure that electricity, telephone, water, heating, data lines and security camera and back up are functioning
  • Ensures that the office is kept clean and tidy
  • Responsible for short-term rental of staff housing
  • Support rentals of other accommodation  
Administration 20%
  • Book flights, rental vehicles, hotel reservations accommodation -Is responsible for international visitors
  • Keep track of visa and work permit requirements for non-Jordanian staff  
Finance 20%
  • Replaces the finance officer during absence  
Human resources 
  • Human Resources Administration
  • Record keeping leave staff members
  • Keep the filing system tidy and up to date
  • Support local recruitment processes  
Logistics 20%
  • Stock keeping and procurement of office supplies and guesthouse supplies
  • Responsible for planning of the use office vehicle rental
  • Keep track of assets and assets registers (incl. Guesthouse and staff apartments with ZOA assets)  
Information Technology (incl. telephone) 10%
  • Provides first line IT support
  • Coordinates with external IT officer for additional support  
Others 10%
  • Support in visa obtaining outside Jordan for all staff
  • Any other tasks assigned by the supervisor  
PERSON SPECIFICATION:
QUALIFICATION / EXPERIENCE:
Vocational Qualification
ESSENTIAL:Accountancy and human resources management at bachelors level DESIRABLE: Legal knowledge Masters in human resources management  
Work Experience
ESSENTIAL: Office management support in finance, administration and logistics Computer skills
DESIRABLE: 2 years of experience of working with international NGOs.  
Languages
ESSENTIAL: Excellent Arabic good English in reading and writing

Organizational capacity 
ESSENTIAL: Self-motivated. Able to prioritize and time manage Work independently  
Communication: oral and written
ESSENTIAL: Clear communication with other General Affairs staff. Maintains a good relationship with people who work in the office
DESIRABLE: Sensitive in the interaction with colleagues  
Teamwork
ESSENTIAL: Team-player with good interpersonal skills. Proactive Is able to motivate GA staff
DESIRABLE: Previous experience of working in a multi-cultural team.

ESSENTIAL: Ability to facilitate office interactions regardless of ethnicity, status, gender, origin or affiliation.

ESSENTIAL: Aware of security considerations.  Calm under pressure.

ESSENTIAL: Honest and reliable personality.  Mature respectful attitude.   
JOB COMMITMENT
Starting date: asap
Duration of commitment: Until 31 December 2018 with a possibility of extension (subject to funding and performance); Probation period of 3 months.
