Accounting Secretary

THE ORGANIZATION:

 OBJECTIVE OF THE POSITION:
Carry out the shared services center accountancy and performs general clerical and secretarial functions in support of HI regional office activities.
 RESPONSIBILITIES:
Responsibility 1 : Ensure shared services center cash flow management and its recording.
Aim : Ensure the availability of funds to implement forecasted activities/expenses
Benchmark: quality of forecasts and respect for deadlines; quality of management and control
of cash-flow; compliance with organisational frameworks defined by the association, cash count discrepancies.
Activities:
  • Manage safes, cash boxes and banks, in adherence to the expenditure commitment processes (invoice settlement, internal transfers, monitor advances, ensure cash box inventories and bank account reconciliations, etc.)
  • Ensure the validity and conformity of expenditure supporting documents (contracts, orders, invoices, delivery orders, etc). Enter accounting codes  on payment authorisation form
  • Ensure recording of Bank/cash movement into NAV on a daily bases based on valid payment authorisation form.
  • Ensure the cash count and the bank reconciliation statement (Follow and fix the discrepancies, and outstanding entries)
  • Withdraw money in conformity with security rules.
  • Follow up the family allowance guide for expatriates staff.
  • Carry out physical checks of safes and cash-boxes on a daily bases.
  • Draw up cash-flow forecasts and ensure the optimal management of cash flow
 Responsibility 2 : Provide the monthly accounting report and participate to the annual and half-year closure operations
Aim: Provide a monthly accounting report on line with HI’s procedure and the local framework.
Benchmark: quality of accounting deliverables, respect of deadlines for sending accounts to head office, quality of period-end closing operations; compliance with the organisation's internal frameworks 
Activities:
  • Prepare and send Cash Count Report.
  • Prepare and send Bank Reconciliation Report
  • Follow and fill up NAV check list
  • Pre-match third party accounts transaction and compile the justification for outstanding entries
  • Issuing test reports from NAV and correct all invalidate accountancy lines.
  • Prepare and send the monthly accounting reports (the transmission sheet)
  • Ensure the copies and the filing of monthly accountancy
  • Ensure the sending for hard and soft copies according to the deadlines
  • Assist in preparing audits (Provide all supporting documents to the audit focal point)
Responsibility 3: Reception and communication 
Aim: Provide secretarial and clerical support and ensure all services are provided in an effective and efficient manner
Benchmarks: Make a Good First Impression; Provide Efficient Trafficking; visitors and  team satisfaction
 Activities:
  • Serve visitors by greeting, welcoming, directing and announcing them appropriately.
  • Answer, screen and forward any incoming phone calls while providing basic information when needed
  • Maintain security by following procedures and controlling access and report any unusual or suspicious persons or activities.
  • Re-direct calls as appropriate and take adequate messages when  required.
  • Give any calls requested by HI staff members for various purposes as appointments booking, information collecting…
  • Send and receive all faxes
  • Maintain the general filing system and file all correspondence, distribute all incoming correspondences and parcels to the respective staff.
 Responsibility 4 : Office organization
Aim: Keep the office running smoothly
Benchmarks: meeting room overbooking, visitors and team satisfaction
 Activities:
  • Organize the use schedule of the meeting room, meals, office supplies, for the Regional meetings, Quarterly review, inductions days, admin seminar.
  • Make sure that the office is welcoming and inform the Logistic Officer in case of problems
  • Verify if all telephone lines are working at all times and inform the Logistic Officer in case of problems
  •  Receives and unpacks materials and supplies. and reports damages and discrepancies
  • Manage stock of office supplies (stationaries, cleaning products…) and maintains receipts, records, and withdrawals and reports when stock is low
  • Support for minor translation work (after line Manager’s approval).
 Assist in any other tasks that may not be described in the Job description but may participate to the achievement of the settled objectives within the individual action plan.
 THE SUCCESSFUL CANDIDATE will have:
  • Bachelor degree in Accounting or Administration
  • Minimum 2 year experience in support service position
  • Previous work experience with I/NGO
  • Professional verbal and written communication skills

  • Experience in using ERP software
  • Fluent in Arabic and English (French a plus)
  • Ability to multi-task and good organizational skills

  • Initial contract will be for a 1 year (renewable) and the position is based in Amman – Regional Office .
Basic salary range for the position :836 JOD – 1199 JOD
