تعلن جمعية العمل لمكافحة الجوع عن حاجتها الى :

Procurement Assistant / Archivist

Action Against Hunger is an international non-governmental organization working in more than 40 countries in the fields of nutrition, food security and livelihoods, water sanitation and hygiene, and care practices. ACF is looking for its program in Jordan for Procurement Assistant / Archivist.

Assignment : 
Provide assistance to the Logistics Officer AM and to the Procurement Officer AM with daily routine tasks related to procurement.
Objective 1: Completion of Procurement files
Activities:
  • Check that all the mandatory documents are present in the dossier.
  • In case of missing document, notify the Logistics officer immediately.
  • Check that all the signatures are present on the different documents
  • In case of missing signature, notify the Logistics officer and contact the needed persons in order to complete the file.

Objective 2: Archiving of Procurement files
Activities:
  • Follow up with finance department in order to retrieve the complete files, after payment.
  • Submit the final , complete file to the Logistics Officer for checking / approval.
  • Scan the documents in order to obtain a clean PDF file.
  • Update the LINK with the scan copies of each document, at different stage of the procurement process.
  • Update the NAS with a copy of each complete procurement file, after closure.
  • Archive all paper files according to the mission’s methodology.

Objective3 : Follow up on Tax Exempted invoices
Activities:
  • Prepare Cover letter for donors requesting Tax Exempted invoices.
  • Update the Excel tracker
  • Ensure the invoices are stamped & signed by the logistics officer.
  • Safeguard a copy of the invoice in each procurement file, before handing it over to the donor.
  • Deliver to / Recover from, all tax free invoices to/from donors.
  • Ensure all invoices have the donor stamp for tax exemption.
  • Put back the invoice in each procurement file.

Objective 4:  Others                                                                
Logistics :
Additional tasks, in line with the logistics team activities, may be required by the manager.
Diploma / Level of studies : Above secondary school level.
Required skills : Computer science (Word and Excel) – Rigour – sense of organization – integrity – flexibility  – discretion –  Knowledge of  English.
